Functions
- Receiving daily incoming mail, recording it in the incoming mail register, and responding to official correspondence.
- Updating the Oracle system linked to the University Presidency, which contains detailed information about faculty members and employees through interfaces and links, including:
(basic information of staff members, personal documents, letters of appreciation and disciplinary actions, absences, leaves from the date of appointment until the present, assignments, administrative positions, allowances and promotions, certificates, seniority grants, transfers, secondments to and from the college, and employee identification numbers). - Updating the database of faculty members and employees daily using Excel, based on correspondence received from the Human Resources Division. This database includes the names of faculty members and employees, their workplaces, personal documents, academic certificates, awarding institutions, dates of obtaining certificates, academic titles or job titles, grades, stages, general and specific specializations, blood groups, employee numbers, Oracle numbers, and university and administrative appointment orders.
- Preparing a detailed monthly report using Word forms and submitting it monthly to the University Presidency, including:
(transfers, appointments, retirement, secondments, all types of leaves, allowances and promotions, seniority grants, assignment to administrative positions and relief from them, missions, transfers between departments, academic titles, corrections to administrative orders, adding certificates, and final statistics of the numbers of employees and faculty members). - Preparing and issuing identification cards for faculty members, employees, and postgraduate and undergraduate morning-study students.
- Stamping clearance forms and collecting identification cards from graduating morning-study students.
- Providing staff members with vehicle entry permit forms and authorization forms for postgraduate students.
- Membership in the Automation Committee for entering the data of college personnel (employees and faculty members).
- Filing and archiving correspondence in folders after completing the required procedures.
